Adding a New Contract
Learn how to create service contracts for your clients
Overview
Contracts define the scope, pricing, and billing terms for cleaning services provided to a client. Each contract can cover all of a client's sites or be specific to one location.
Step 1: Navigate to the Client
Start from the client who needs the contract:
- Click Clients in the sidebar menu
- Click on the client's name to view their details
- Scroll to the Contracts section
- Click the Add Contract button
Step 2: Enter Contract Details
Fill in the basic contract information:

| Contract Title * | A descriptive name (e.g., "Monthly Office Cleaning", "Weekly Warehouse Service") |
| Contract Number | Auto-generated if left blank, or enter your own reference number |

| Site | Select a specific site or leave as "All Sites" for company-wide contracts |
| Description | Scope of work, special terms, or service level agreements |
| Start Date * | When the contract begins |
| End Date | Leave empty for ongoing contracts, or set for fixed-term agreements |
Step 3: Configure Billing Details
Set up how the client will be charged:

| Billing Frequency * | How often to invoice: Per Job, Weekly, Fortnightly, Monthly, Quarterly, or Annually |
| Currency | AUD (default), USD, or NZD |
| Tax Inclusive | Tick if the contract value includes GST/tax |
Step 4: Set Contract Status
In the right sidebar, configure administrative settings:
- Status - Draft, Pending Approval, or Active
- Auto Renew - Enable for automatic contract renewal
- Renewal Notice - Days before end date to send reminder (default: 30)
- Signed By - Name of the client's authorised signatory
- Signed Date - When the contract was signed
Step 5: Save the Contract
Click Create Contract to save. The contract will appear in the client's contracts list where you can:
- View full contract details
- Edit terms and pricing
- Track contract status
- Create jobs linked to this contract
Tip: Start contracts as "Draft" while negotiating terms, then change to "Active" once signed.
Note: Contract numbers must be unique. If you enter a duplicate, the system will ask you to choose a different one.
