Track system activity and changes for security and compliance

Overview

Audit Logs record all significant actions taken in CleanOps Pro, providing a complete history of who did what and when. This is essential for security, compliance, and troubleshooting.


Accessing Audit Logs

Navigate to Administration > Audit Logs from the sidebar menu. Only administrators can access audit logs.


What Gets Logged

The system records these types of activities:

Category Events Recorded
Authentication Logins, logouts, failed login attempts, password changes
User Management User created, updated, deactivated, role changes
Client Data Clients, sites, and contracts created, edited, or deleted
Jobs Jobs created, assigned, status changes, task completions
Time Records Clock in/out, timesheet edits, approvals
Settings System configuration changes

Understanding Log Entries

Each log entry includes:

  • Timestamp - Exact date and time of the action
  • User - Who performed the action
  • Action - What was done (create, update, delete, etc.)
  • Entity - What was affected (client, job, user, etc.)
  • Details - Specific changes made (before/after values)
  • IP Address - Where the action originated from

Searching and Filtering Logs

Find specific entries using filters:

  • Date Range - Narrow down to a specific time period
  • User - See actions by a specific user
  • Action Type - Filter by create, update, delete, login, etc.
  • Entity Type - Show only client, job, or user changes
  • Search - Text search in descriptions and details

Exporting Audit Logs
  1. Apply any desired filters
  2. Click Export
  3. Choose format (CSV or PDF)
  4. Download the file for your records
Retention: Audit logs are retained for the period specified in your account settings. Export important records before they're automatically archived.

Privacy Considerations

Audit logs contain sensitive information. Access should be limited to:

  • System administrators
  • Compliance officers
  • Authorised security personnel
Note: Audit logs themselves cannot be edited or deleted to maintain integrity of the audit trail.
