Managing Documents

Store and organise files related to your operations

Overview

The Documents section allows you to store important files such as contracts, certificates, photos, and other documentation related to your clients, sites, and operations.


Accessing Documents

Navigate to Documents from the sidebar menu to see all uploaded files. Documents can also be accessed from individual client, site, or job pages.


Document Types

Common document types you might store:

Type Examples
Contracts Signed service agreements, terms and conditions
Certificates Insurance certificates, licenses, compliance docs
Site Photos Before/after photos, site condition records
Instructions Site access details, special procedures
Floor Plans Building layouts, area maps
Safety Documents MSDS sheets, safety procedures, risk assessments

Uploading Documents

To upload a new document:

  1. Click Upload Document
  2. Select the file from your computer
  3. Choose the document type/category
  4. Link to a client, site, or job (optional)
  5. Add a description
  6. Click Upload
Supported formats: PDF, Word documents, Excel spreadsheets, images (JPG, PNG), and text files.

Organising Documents

Keep your documents organised:

  • Categories - Assign documents to categories for easy filtering
  • Linked Records - Connect documents to clients, sites, or jobs
  • Descriptions - Add clear descriptions so files are easy to find
  • Naming - Use descriptive file names before uploading

Finding Documents

Search and filter to find documents:

  • Search - Search by file name or description
  • Filter by Type - Show only contracts, photos, etc.
  • Filter by Client - See all documents for one client
  • Filter by Date - Find recently uploaded files

Viewing and Downloading

To access a document:

  1. Click on the document name to preview (if supported)
  2. Click the Download button to save to your device
  3. PDFs and images can be viewed directly in the browser

Deleting Documents
  1. Find the document you want to remove
  2. Click the Delete button
  3. Confirm the deletion
Warning: Deleted documents cannot be recovered. Make sure you have a backup if needed.
Quick Tips

Upload contracts immediately
Store signed contracts as soon as they're executed for easy reference.

Keep certificates current
Update insurance and compliance documents before they expire.

Use descriptive names
Name files clearly, e.g. "ClientName_Contract_2024.pdf".

File Size Limits
  • PDF: Up to 25MB
  • Images: Up to 10MB
  • Documents: Up to 25MB
  • Spreadsheets: Up to 25MB
