Managing Contracts
Learn how to view, edit, and manage service contracts
Viewing Contracts
Contracts are accessed through their parent client:
- Go to Clients and select a client
- Scroll to the Contracts section
- All contracts for that client are listed with status and value
Viewing Contract Details
Click on a contract to see its full information:
- Terms - Start date, end date, renewal settings
- Billing - Contract value, rate type, frequency
- Scope - Description and site coverage
- Signature - Who signed and when
Editing a Contract
To update contract details:
- Navigate to the contract's detail page
- Click the Edit button
- Update the necessary fields
- Click Update Contract to save
Common updates: Pricing changes, billing frequency adjustments, extending end dates, and updating descriptions.
Contract Status Management
Contracts progress through different statuses:
| Status | Meaning |
|---|---|
| Draft | Being prepared - not yet active |
| Pending | Awaiting approval or signature |
| Active | Currently in effect - services being delivered |
| Expiring | Approaching end date - renewal action needed |
| Expired | Past end date - no longer active |
| Cancelled | Terminated before end date |
Renewing Contracts
For contracts approaching their end date:
- Review the contract terms with the client
- Edit the contract and update the End Date
- Adjust pricing if needed
- Update the Signed By and Signed Date if re-signed
- Ensure status is set to Active
Auto-Renew: Enable "Auto Renew" on contracts that automatically continue. The system will notify you before renewal based on your notice period setting.
Updating Pricing
To adjust contract pricing:
- Edit the contract
- Update the Contract Value
- Change the Rate Type if needed (Fixed, Hourly, Per Sqm)
- Adjust Billing Frequency if changing payment schedule
- Note the change in the description for record-keeping
Cancelling a Contract
To cancel a contract before its end date:
- Edit the contract
- Change status to Cancelled
- Add cancellation details to the notes
- Save the contract
Note: Cancelled contracts are preserved for historical records. They cannot be deleted if jobs have been completed under them.
Quick Tips
Set renewal notices
Configure 30-60 day notice periods so you have time to renegotiate before expiry.
Document changes
Add notes when changing pricing or terms to maintain a clear history.
Review regularly
Check expiring contracts weekly to avoid service gaps.
